Description: Provides administrative and clerical support to the meetings department.  Assists with various components of meeting operations and logistics for a variety of external and internal company meetings and projects; in addition to supporting the company airline travel program. 

Responsibilities Include:

  • Provide administrative and clerical support to the directors and the meetings department.
  • Provide meeting attendee, vendor and exhibitor customer service via phone and email.
  • Support the airline travel booking process for staff and volunteers.
  • Assist with RSNA internal conference center meeting management including calendar coordination, ordering catering, meeting room set-up and audio visual.
  • Assist managers with various advance and onsite aspects of meeting logistics signage, badges, roster, production, freight, set-up and execution.
  • Support marketing efforts of team by coordinating necessary online and print forms, brochures and websites.
  • Assists the Digital Event Strategist with the annual virtual meeting and webinar series.
  • Assist the department overall as needed.

The successful candidate:

  • Bachelor's degree preferred, but not required.
  • 1-2 years of proven administrative support experience; meeting and event administration a plus.
  • Corporate travel or travel agency experience a plus.
  • Excellent communication skills (verbal and written).
  • Advanced computer skills including Microsoft Outlook, Word, Excel, and PowerPoint required.
  • Capable of providing excellent customer service.
  • Sharp eye for detail and the ability to work independently while adhering to standard operating procedures.
  • Must be self-directed, flexible, and have the ability to prioritize and manage multiple tasks simultaneously.
  • Enjoys working in a high-paced, very productive atmosphere and has the ability to complete multiple tasks and high volume of work on firm deadlines.
  • Availability to travel locally for meetings, if needed.
  • Ability to plan and prioritize workload and meet deadlines.
