Description: Provide administrative and clerical support to staff of the Executive Department.

Responsibilities Include:

  • Provides support to Committee Administrator with processes related to (a) the composition and structure of all RSNA committees and task forces, (b) the ecosystem of individuals who volunteer or are recommended for appointment, (c) appointments and nominations on behalf of RSNA to Boards and committees of other organizations, and (d) the management of committee and volunteer data, including:
    • Assists with the committee appointments process by
      -Soliciting recommendations from Academic Department Chairs
      -Preparing background materials for committee staff and volunteers involved in the appointments process.
      -Working with Information Management staff to get suggestions, nominations, and appointments input into database.
      -Working with committee staff to ensure accuracy, compliance with policies, proper formatting and completion of appointment sheets in the submission of recommendations to the Board.
      -Notifying appointees, tracking acceptances, and sending follow-ups as necessary.
      Sending appropriate notices and expressions of appreciation to volunteers whose service has concluded.
    • Corresponds with individuals expressing an interest in serving in a volunteer capacity.
    • Maintains current committee charges and updates website resources relating to volunteer leadership, committee membership and service opportunities. 
    • Updates archives, as necessary, to preserve records of honorees and award recipients.
    • Runs reports and works with Customer Service and Membership to assist them in getting committee members to keep their RSNA membership up to date.  
    • Attends the Annual Meeting to provide staff support at the Ribbon Wall.

  • Provides support to the Board Affairs Coordinator:
    • Ships agenda materials.
    • Prepares final copies of Board meeting agendas for distribution to appropriate staff, indexing on DocFetcher and archiving.
    • Organizes distribution of badges and ribbons to Annual Meeting VIPs.
    • Assembles meeting binder for Past President's lounge.
    • Performs other Annual Meeting duties, such as gift wrapping, packing boxes for shipping before and after the meeting.
    • Inputs data on Radiological Events Calendar. 
       
  • Provides support to the Meeting and Event Manager:
    • Processes reimbursement requests, mails checks and maintains records.
    • Makes ground transportation reservations for members of the Board.
    • Creates pdf resource binders with logistical details for Board meetings.
    • Assists with evening social event setups and arrangements at Annual Meeting.
       
  • General Executive Department support:
    • Serves as the department scheduler, organizing conference calls and scheduling meetings of staff and volunteer groups.
    • Maintains the department timeline. 
    • Orders supplies for department as well as 3rd floor west kitchen.  Responsible for daily loading and unloading of dishwasher.
    • Prints file folders, tabs, place cards, name cards and agenda binders.
    • Provides primary administrative and clerical support to the Director and Assistant Director, including faxing, copying, word processing, filing, schedule maintenance, travel arrangements, budget submissions, and communications via telephone and email.
    • Assists other Executive Department staff members with clerical duties and administrative tasks as needed during peak times. 
Requirements:
  • Bachelor's degree required
  • Two or more years of experience in an administrative capacity preferred
  • Excellent organizational skills
  • Excellent written and oral communication skills
  • Proficiency in Microsoft Word and Excel required
  • Proficiency in database management software, Adobe, PowerPoint and Outlook, preferred
  • Must handle confidential information with discretion
  • Excellent interpersonal skills; interacts effectively, professionally and diplomatically with individuals at all levels, including Board members and staff.
